Developed an event registration system for VIVIXX Academy, utilizing QR code technology and email automation to streamline registration, reduce errors, and enhance user experience. The system is reusable for future events and ensures efficient attendance tracking.
Event registration is the first point of contact for attendees, setting the tone for their experience. Traditional methods using paper and pen are time-consuming and prone to errors and data breaches. While many registration apps exist, they often fail to meet specific organizational needs due to their one-size-fits-all design.
The proposed event registration system leverages QR code technology and SMS automation to streamline the process, reduce human interaction, and minimize errors. Unlike generic solutions, it is personalized, efficient, and reusable for future events, offering a modern and reliable approach to event management.
The primary goal of this project was to create a seamless, automated registration process that enhances efficiency through QR code check-ins while minimizing manual errors and improving the overall user experience.
To build a system that was both functional and user-friendly, we started with a clear sitemap to define the structure and key features. This was followed by low- and mid-fidelity wireframes to map out the user flow and layout. We paid close attention to the needs of both admins and participants, ensuring intuitive navigation across all screens. For the branding and UI, we used a modern, clean style that aligned with VIVIXX Academy’s identity. All of these elements came together in an interactive prototype that showcased how the system would work in action.
The sitemap served as the foundation for planning the system’s structure. It helped us organize all the important pages—like registration, admin dashboard, logs, and scanners—into a clear flow. This made sure both participants and admins could easily navigate the system, keeping the experience straightforward and efficient from the start.
We started with low-fidelity wireframes to outline the system’s basic layout and flow. This helped us focus on the structure and key user actions without getting distracted by visual design too early. It gave us a clear picture of how each part of the system would connect and function.
Once the structure was in place, we moved on to mid-fidelity wireframes. These included more detailed layouts, showing button placements, form fields, and navigation elements. This stage helped us refine the user experience and prepare for a smoother transition into high-fidelity design and development.
For the visual design, we kept things clean and modern to match the professional tone of VIVIXX Academy. We used the organization’s existing logo and built a UI kit with consistent colors, typography, icons, and simple illustrations to support easy navigation. The goal was to create a polished and cohesive look that made the system intuitive and visually appealing for both admins and participants.
After finalizing the wireframes, we created an interactive prototype to bring the system to life. This prototype allowed us to test the user flow, catch any issues early, and show stakeholders how the system would work in a real-world scenario. It was a key step in making sure the design was both functional and easy to use.
User testing was conducted within the team and VIVIXX Academy staff. Feedback was overwhelmingly positive, highlighting the system's ease of use and efficiency. Initial issues were promptly addressed, ensuring a smooth registration experience with accurate participant tracking, automated email notifications, QR code scanning, and attendance logging. The system is now ready for deployment and is expected to enhance event management significantly.
